FrontDesk ("we", "us") provides an AI-powered phone answering service for businesses. This policy explains what data we collect, how we use it, and the choices you have. It applies to our website and to the FrontDesk service used by our business customers ("merchants").

FrontDesk is a service for United States businesses. We do not direct our services or marketing to individuals or businesses in the European Union, European Economic Area, or United Kingdom, and we do not knowingly process the personal data of EU/EEA/UK residents in connection with offering or marketing the Service to them. If you believe we have inadvertently collected data connected to an EU/EEA/UK resident, contact us at support@meetfrontdesk.com and we will address your request.

We do not sell personal information. We do not use your call recordings to train general-purpose AI models.

3. Google user data and AI (Limited Use)

When a merchant connects their Google Calendar, FrontDesk requests only the Google Calendar events scope (calendar.events). We use this access solely to check the merchant's own calendar for open time slots and to create, reschedule, or cancel appointment events on their behalf during a phone call. We never create or delete calendars, change sharing settings, or read calendar configuration.

FrontDesk's use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Specifically: FrontDesk does not use raw or derived Google user data to train, fine-tune, or improve any foundational or generalized AI/ML models, and never transfers Google user data to any third party for that purpose.

FrontDesk relies on third-party AI services (for speech-to-text, language understanding, and text-to-speech) to operate the phone receptionist. These are used strictly for real-time inference — processing a request to generate a response during a live call. Under these providers' business/API terms, data submitted via their APIs is not used to train their models. Google Calendar data is accessed only in the moment a caller asks about availability or a booking, and is not retained by, or resold to, any third party.

4. Call recordings and consent

Calls handled by FrontDesk are recorded and transcribed to provide the service. Every call begins with a notice that the call may be recorded. Merchants are responsible for ensuring their use of call recording complies with laws applicable to their business and callers.

5. SMS / text messaging

If you provide a mobile number (for example, as your emergency transfer number during setup), FrontDesk may send you SMS text messages related to your account — such as urgent alerts when a caller needs immediate attention. Message frequency varies with your call volume. Message and data rates may apply.

By providing your mobile number and checking the SMS consent box during setup, you agree to receive these text messages from FrontDesk. Consent is not a condition of purchasing our service. You can opt out at any time by replying STOP to any message, or by contacting support@meetfrontdesk.com. Reply HELP for assistance.

Mobile information will not be shared with third parties/affiliates for marketing/promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties, except as necessary to provide the messaging service itself (e.g. our telecommunications carrier).

6. Service providers

We share data only with the subprocessors needed to run the service, under contractual safeguards — including telephony carriers, speech-to-text and text-to-speech providers, large language model providers, cloud hosting and storage, calendar integration (e.g. Google Calendar, with your authorization), and our payment processor (our merchant of record handles your payment card details; we never store card numbers).

7. Data retention

Call recordings, transcripts, and summaries are retained while your account is active so you can review them. You may delete individual calls or your entire account at any time, after which associated data is deleted within 30 days, except where retention is required by law (e.g. billing records).

8. Your rights

Depending on where you live, you may have rights to access, correct, delete, or export your personal information. Contact us at the address below and we will respond within the time required by applicable law. California residents may exercise rights under the CCPA; we do not "sell" or "share" personal information as defined by the CCPA.

9. Security

We use industry-standard safeguards including encryption in transit, access controls, and isolated storage of recordings. No method of transmission or storage is 100% secure, but we work to protect your data proportionately to its sensitivity.

10. Children

FrontDesk is a business service and is not directed to children under 16. We do not knowingly collect personal information from children.

11. Changes

We may update this policy from time to time. Material changes will be announced by email or in your dashboard before they take effect.
