FrontDesk ("we", "us") provides an AI-powered phone answering service for businesses. This policy explains what data we collect, how we use it, and the choices you have. It applies to our website and to the FrontDesk service used by our business customers ("merchants").

1. Information we collect

• Account information: your name, email address, business name, business phone number, and billing details when you sign up.
• Business configuration: the services, prices, hours, FAQs, and calendar settings you provide so the AI can answer on your behalf.
• Call data: when the service answers a call, we process the caller's phone number and the audio of the conversation, and we generate recordings, transcripts, and summaries. Calls begin with a disclosure that the call may be recorded.
• Usage data: log and device information such as IP address, browser type, and pages visited on our website.

2. How we use information

• To operate the service: answering calls, booking appointments, taking messages, and notifying you.
• To provide you with recordings, transcripts, and summaries of your business calls.
• To bill for subscriptions and usage, provide support, and improve reliability.
• To comply with legal obligations and prevent fraud or abuse.

We do not sell personal information. We do not use your call recordings to train general-purpose AI models.

3. Call recordings and consent

Calls handled by FrontDesk are recorded and transcribed to provide the service. Every call begins with a notice that the call may be recorded. Merchants are responsible for ensuring their use of call recording complies with laws applicable to their business and callers.

4. Service providers

We share data only with the subprocessors needed to run the service, under contractual safeguards — including telephony carriers, speech-to-text and text-to-speech providers, large language model providers, cloud hosting and storage, calendar integration (e.g. Google Calendar, with your authorization), and our payment processor (our merchant of record handles your payment card details; we never store card numbers).

5. Data retention

Call recordings, transcripts, and summaries are retained while your account is active so you can review them. You may delete individual calls or your entire account at any time, after which associated data is deleted within 30 days, except where retention is required by law (e.g. billing records).

6. Your rights

Depending on where you live, you may have rights to access, correct, delete, or export your personal information. Contact us at the address below and we will respond within the time required by applicable law. California residents may exercise rights under the CCPA; we do not "sell" or "share" personal information as defined by the CCPA.

7. Security

We use industry-standard safeguards including encryption in transit, access controls, and isolated storage of recordings. No method of transmission or storage is 100% secure, but we work to protect your data proportionately to its sensitivity.

8. Children

FrontDesk is a business service and is not directed to children under 16. We do not knowingly collect personal information from children.

9. Changes

We may update this policy from time to time. Material changes will be announced by email or in your dashboard before they take effect.
